How to Prevent and Resolve Pending (Spinning) Notes from Transcripts

This article explains how to ensure notes are generated correctly from transcripts and how to avoid or resolve notes that remain in a pending (spinning) state.

 

Notes can fail to complete if a note style is applied while the recording or transcription is still in progress. Follow the recommended workflow and troubleshooting steps below to avoid pending notes and to recover a stuck note.

Best pratices to avoid pending notes:

  1. Complete the recording and allow the transcription to finish loading fully before applying any note style.
  2. Only apply note styles after the transcript is fully available in the session.

If a note becomes stuck in a pending (spinning) state

  1. Refresh the browser, or log out and log back in, then reopen the session.
  2. If the note still does not appear or remain pending, wait until the transcript is fully loaded and then reapply the desired note style.
  3. Try adding an additional supplemental recording to the summary.
  4. As a temporary workaround, copy the full transcript into the prompt area and instruct the system to update the note using that transcript text. This may produce the note content when other methods do not complete.

Troubleshooting checklist

  • Confirm the recording/transcription process is completed before applying note styles.
  • Refresh the browser or sign out and back in to clear transient session issues.
  • Reapply note styles only after the transcript is visible and fully loaded.
  • Use transcript copy-and-paste into the prompt area and ask the system to update the note if automated note generation remains blocked.
